Services for Campus Events

Charges for Campus Service
Though space in Lerner Hall is free, the use of campus facilities can result in charges for space rentals and other services, including technical and select facilities support charges. Therefore, make sure that your organization considers these potential charges in the planning and budgeting of your event.

University Event Management

Ticket Sales:
Any organization sponsoring a campus event for which admission will be charged must use sequenced tickets. You may purchase tickets from Lerner Hall for a cost of $15 per 200 tickets. To get tickets printed, fill out an e-form and ticket request form and submit. The ticket request form is online at the Lerner Hall Web site. You may reserve the box office for ticket sales by submitting a 7th floor. Club members selling tickets must fill out the ticket log available at SDA. You also have the option of hiring Lerner staff to sell tickets.

Space Requests, Room Setup and A/V support in Lerner Hall:
Set-up of chairs, tables, staging and other needs must be arranged with the Lerner Hall staff. This is a free service in Lerner Hall. For other buildings and space there will be a charge to rent tables and chairs. Make sure to fill out a service request form with your set-up needs. Space, furniture and tech request forms can be submitted online at the Lerner Hall Web site.

Space Requests Outside of Lerner Hall:
Space request forms should be submitted to the Lerner Hall staff to reserve any outdoor space or classroom on campus. The following can be reserved through Lerner Hall:

(Alfred Lerner Hall, BuellHall/Maison Francaise, Faculty House, Fayerweather (limited rooms and activity), Hamilton (limited rooms and activity), Italian Academy, Kent (limited rooms and activity), Law School - Jerome Greene Hall, Law School - Greene Annex, Law School - WJ Warren Hall, Law School - Warren Hall, Mathematics (limited rooms and activity), Mudd (limited rooms and activity), Outdoor Space, Pupin (limited rooms and activity), Residence Hall Lounges, School of Social Work)

Facilities/Special Events

Student Organizations can utilize the services of Special Events/Facilities for events that take place outdoors, in classrooms and in various buildings on campus. All classroom space is to be used on an as-is basis. Student organizations are fully responsible for cleaning and leaving the room in the condition in which it was found. Furniture requests for Outdoor space and Residence Hall Lounges can be arranged with Alfred Lerner Hall. All other Furniture request must be made with Facilities/Special Events. All Audio/Visual Request must be made with the AV department.

The following is a list of chargeable expenses:
Furniture Rentals (tents, tables, chairs, dividers, easels, linens, etc), all materials, parts, vendors which/who are involved in the event preparation and vertical transportation assistance.

The following is a list of non-chargeable expenses:
All custodial, electrical, plumbing, carpentry, labor, masonry, painting, grounds, waste management and locksmith support required before, during or after an event. Such arrangements should be made following consultation with your advisor. Forms for Facilities requests can be found in the SDA office.

Food Services

Columbia University Catering:
Columbia caters student organization events (including providing coffee and hot water urns); offers set-up and clean up services; and is willing to work within any budget. Once you have reserved a space for your event, standard orders may be placed in one of three ways for your convenience:

Once catering has received your order, you will be sent a fax confirmation to your advising office. This will give you the opportunity to look over your order and make any necessary changes. It is necessary to have your advisor sign off on the order and fax it back to Columbia University Catering. Columbia Catering suggests a personal meeting to discuss all special events. Before making any catering arrangements, consult with your advisor and obtain budgetary authorization.

Barbecue Grills:
Barbecue grills are available for rental from Broadway Party Rentals. Payment for the rental fee can be made by E-form. (212) 269-2666. The club must arrange for rental through their SDA advisor.

Public Safety

For events requiring Columbia security guards, arrangements can be made with Lerner Hall staff, in consultation with your advisor. Security will bill you on an hourly basis (a minimum of four hours for each guard); charges approach, and in some cases exceed, $40 per hour. Please request a written estimate for security charges, which should be submitted with your e-form.

Parking

If a student organization would like to have event related materials loaded/unloaded from a vehicle on College Walk they are able to do so by sending a request via email to John Murolo, Director of Public Safety, at jjm274@columbia.edu. In the email please include the date and time that the vehicle will arrive at College Walk, what is being loaded/unloaded, a description of the vehicle, and what company it is. Parking on College Walk is prohibited at all times. If your organization truly feels as though they have unique circumstances they can contact Mr. Murolo for information regarding an exception.
